Work you'll do/Responsibilities
Provide end-to-end operational support to Legal for deal and fund transaction execution and select corporate governance processes by coordinating approvals (Legal/Business/Finance), validating execution mechanics, managing signatories, and maintaining complete executed records-while protecting MNPI and meeting time-sensitive transaction deadlines (often across time zones).
Document intake, review, and approvals
Triage inbound execution requests; obtain required Legal/Finance/Business approvals based on deal/fund and document type; confirm alignment with internal policies and procedures.
Perform document quality checks (e.g., discrepancies, signature blocks, correct entity names, signatory authority) and coordinate fixes with stakeholders.
Execution coordination (signatory management)
Identify the correct signatory and obtain signatory approval to proceed; ensure signature blocks reflect the correct entity/fund capacity (e.g., agent/investment manager language where applicable).
Execute documents via e-signature, apply internal approval "stamps" (legal/finance/business as required), and manage wet-ink/live signing and notarization when needed.
Operate effectively in a high-urgency environment (including cross-time-zone coverage), escalating to alternate signers/approvers as necessary to meet same-day/EOD expectations.
NDA / LOI / engagement letter execution (incl. cross-border nuances)
Process NDAs and related schedules/letters; ensure approvals are complete and apply required stamps prior to returning executed documents.
Coordinate LOIs/NBOs and engagement letters, ensuring legal/business/finance approvals are obtained before execution; manage exception handling (e.g., signature pages executed with approvals held "in escrow" when explicitly authorized).
MNPI-aware disbursement & controls
Disburse fully executed documents with strict distribution controls to prevent inadvertent release of Material Non-Public Information (MNPI) and avoid compliance issues.
Records management / audit trail
Maintain a document management tracking process from initiation through final executed/dated copies; ensure a complete, retrievable audit trail for compliance and future reference.
Governance support (as in-scope)
Draft and maintain Investment Committee/Desk meeting minutes, capture key decisions, and support vote coordination/tallying when required.
Provide KYC-related operational support (secure storage/handling of personal identifying materials; execution/fulfillment of KYC document requests as needed).
Specialty execution services (as needed)
Coordinate apostille/legalization workflows for executed/notarized documents, including vendor coordination and shipment tracking
Communicate regularly with Engagement Managers (Directors), project team members, and representatives from various functional and / or technical teams, including escalating any matters that require additional attention and consideration from engagement management
Independently and collaboratively lead client engagement workstreams focused on improvement, optimization, and transformation of processes including implementing leading practice workflows, addressing deficits in quality, and driving operational outcomes

Qualifications
Required
1+ years in legal operations, transaction support, fund admin support, paralegal support, or document execution in financial services/asset management.
Demonstrated experience coordinating multi-stakeholder approvals and driving documents to execution under tight deadlines.
High attention to detail in signature blocks, entity names, and authorization controls.
Strong judgment handling confidential information and distribution controls (incl. MNPI-adjacent workflows).
Bachelor's degree in Finance, Business, Law, Criminal Justice, or a related field or equivalent experience.
Limited immigration sponsorship may be available
Ability to travel 10%, on average, based on the work you do and the clients and industries/sectors you serve
Must live in Southern CA to be on client site in Newport Beach area.
Preferred
Familiarity with alternative/private fund structures and "acting as agent/adviser" signature constructs.
Experience supporting cross-border teams and time-zone-driven execution coverage
Consulting Experience
Analytical ability to manage multiple projects and prioritize tasks into manageable work products
Can operate independently or with minimum supervision
Excellent written and communication skills
Ability to deliver technical demonstrations

This compensation range is specific to California and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At Deloitte, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $63,200 to $84,200.
