SALARY: $3,600+/month depending on experience

NCSL provides research, technical assistance and opportunities for policymakers to exchange ideas on the most pressing state issues. Our mission is to serve state legislatures by providing support, promoting fresh ideas, connecting legislators and staff with experts and each other, and provide a strong, cohesive voice in the federal system.

Since its founding in 1975, NCSL's staff has grown from 15 employees to over 150 employees in its offices in Denver, CO and Washington, D.C. Our growth has been due to the increasing activity and responsibility of the nation's state legislatures and the complexity and diversity of issues that legislators face. Employees work in a challenging, often fast-paced environment where they assist legislators and legislative staff in their work to promote the common good of the citizens of the states.

GENERAL DESCRIPTION:
The National Conference of State Legislatures is seeking up to three qualified individuals to (1) provide planning and logistical support for meetings and other events and (2) provide general administrative/project coordination support for its Education, Health or Children and Families programs. Primary duties will include:
• Contacting state legislators and legislative staff by phone and email;
• Maintaining detailed expense reports, budget and other records;
• Coordinating with NCSL’s meetings department and other staff;
• Managing details related to venue, lodging, catering and transportation;
• Providing on-site logistical support for meetings (may require travel and/or overnight stays 6-12 times per year).

This position requires a detail-oriented person with excellent interpersonal, organizational and problem-solving skills, and the ability to work in a fast-paced, professional environment, supporting the work of multiple team members.

This position is grant-funded and is subject to reduction in percentage of time covered or elimination if grant funding becomes unavailable.

RESPONSIBILITIES AND DUTIES:

This position will perform some or all the following duties:

1. Provide logistical support for meetings and other events.
2. Organize and perform outreach activities to legislators and legislative staff.
3. Organize and maintain detailed records related to meeting planning and participant outreach.
4. Track meeting-related expenses in an Excel spreadsheet.
5. Write outreach letters and emails to recruit participants for meetings.
6. Serve as liaison between NCSL programs and departments and hotel contractor (Conference Direct) to coordinate hotel and meal logistics.
7. Serve as primary liaison with hotels and other venues.
8. Coordinate on-site logistics for 6-12 meetings annually (requires out-of-state travel and overnight stays).
9. Process meeting invoices and expenses.
10. Provide administrative support, such as collecting timesheets and monthly reports and preparing documents for publication.
11. Tabulate and summarize survey results.
12. Assist with posting web content.
13. Assist with legislative tracking and maintaining legislative databases.
14. Perform other duties as assigned.

WORK ENVIRONMENT:
This job operates in a professional office environment. This role routinely uses standard office equipment such as laptop computers, copy machines, scanners and smartphones.

PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

This is largely a sedentary position that requires the ability to speak, hear, see, lift small objects up to 30 lbs., open filing cabinets and bend, stoop, or stand on a stool as necessary. Requires the ability to travel locally, regionally and nationally, including overnight and weekends.

Qualifications & Requirements
QUALIFICATIONS:
Experience and Education
• High school diploma (or its equivalent) plus seven (7) years of progressively more complex administrative experience or a bachelor’s degree plus three (3) years of administrative/project coordination experience.
• Business or administrative school or training is desired.

Knowledge, Skills and Abilities
For all three positions:
• Competence using Microsoft Word, Excel, Outlook and other computer applications.
• Ability to operate printers/copiers, multiline phones and other office equipment.
• Excellent phone etiquette and customer service skills.
• Ability to work efficiently and cooperatively in a fast-paced environment.
• Excellent organizational skills and the ability to manage multiple tasks at once.
• The ability to communicate effectively in writing and orally.
• The ability to travel out of state by airplane and be away from home for overnight stays, sometimes including weekends.
