The Job
The Opportunity Network is seeking a top-performing, highly motivated Executive Assistant to the CEO to perform a range of administrative functions to maximize the CEO’s time and effectiveness. A unique opportunity to work closely with a dynamic social entrepreneur and the rest of the organization’s leadership, the Executive Assistant will play an integral role in executing day-to-day operations in a high-growth environment. The candidate will coordinate with the development, program and administrative teams on a range of activities.

Responsibilities
Administrative support for the CEO
Operations and Logistics Arrange and oversee intricate travel arrangements and preparation Coordinate objectives and gather necessary materials for internal and external meetings so CEO is prepared for each meeting Assist in the management of the daily operations of the office of the CEO including arranging deliveries, updating contacts, and conducting research Work in partnership with the Office Manager to ensure office policies are generated, updated, and followed
Calendar Management Create and manage scheduling strategy to optimize CEO’s effectiveness Ensure priorities are managed; daily and long-term requests are addressed Anticipate the CEO’s needs and proactively bring together appropriate people and other resources to support the CEO in addressing issues
Expense Management Manage and submit monthly expense reports for the CEO and COO Constituent Communication and Support Manage all-staff organizational communications on behalf of CEO, including taking notes, drafting memos, creating agendas, and coordinating feedback from staff to the CEO’s office Interface with Board of Directors, manage board correspondence and communication, and track quarterly board meeting RSVP's and attendance Maximize efficiency for C-Suite management team
External Relations Support the development of a variety of external communications on behalf of the CEO, such as correspondence with peer organizations, our PR firm, conference organizers, etc. Prepare CEO for internal and external meetings and conduct follow-up on the CEO’s behalf Research in advance of press and speaking opportunities
Special Projects Support the Program and Development teams in event planning, especially for annual benefit Play an active “citizenship” role in organization-wide initiatives across functions.
